Client Services Associate

Saltbox Financial is a boutique, women-owned, fee-only financial planning firm based in Amesbury, Massachusetts. We provide fiduciary financial planning services on an hourly and AUM fee-only basis. We pride ourselves on providing creative, values-based financial planning services with a personalized touch to clients of all backgrounds and income levels.

The Client Services Associate position is a part-time position, 28 hours per week. This role can be performed fully remote, though there is an opportunity for coordinated in-office time for a local candidate. The role is well-suited for someone who can work Monday through Friday for 5.5 hours each day. 

We are looking for a professional who is ready to hit the ground running and can work independently while still knowing when to ask for help. You will be joining a small team of four, which means you’ll touch various aspects of our operations. Candidates who fit into our firm and culture will embrace technology, enjoy a collaborative environment, and hold a high regard for serving clients in a fiduciary capacity. 

Key Responsibilities

  • Maintain organized digital document systems and client records

  • Serve as primary phone and email support during scheduled hours

  • Coordinate calendars, meetings, and meeting reminders.

  • Download, file, and track client documents using our secure file sharing system (ShareFile). 

  • Support client scheduling, uploads, and basic service requests.

  • Assist with tax-season administration, including document tracking and e-file authorizations.

  • Prepare, file, and distribute client performance reports and statements.

  • Manage compliance tasks, including advisor credential renewals, CE tracking, client agreements, and required disclosures.

  • Revise and maintain client profiles within our CRM system (Advyzon). 

  • Update outside account records in our financial planning software (Right Capital). 

 

Required Qualifications

  • Series 65 or Series 66 license. 

  • 1 year of proven, hands-on experience working with Schwab Advisor Services.

    • Preferred: 2 or more years of experience with Schwab

  • 1-3 years of experience working for a Registered Investment Advisor or wealth management firm.

    • Preferred: Fee-only firm experience

  • At least 1 year working with a full-suite portfolio management software. 

    • Preferred: Experience working specifically with Advyzon

  • Bachelor’s degree.

  • Available Monday-Friday, 8:00 am-1:30 pm, or 9:00 am-2:30 pm Eastern Time.

 

Necessary Skills

  • Fluent in using Dropbox, Slack, Zoom, Google Workspace, and Microsoft products

  • Ability to multitask and prioritize competing deadlines.

  • Exceptional verbal and written communication skills. 

  • Passionate about open, collaborative, and effective communication. The right candidate enjoys building productive working relationships on a small team.

  • Commitment to continuous improvement of systems and outside-the-box thinking for creative problem-solving.

  • Excellent organizational skills and executive functioning skills.

  • A deep sense of personal accountability and a genuine desire to provide thoughtful client service.

 

Bonus Software Skills

  • Experience with Airtable, Acuity, Adobe Acrobat Pro, Right Capital, ShareFile

 

Organizational Role

  • The role reports directly to the Client Service Manager and works closely with the Trading Associate and Financial Planners. The goal is to participate in and support the financial planning process by providing excellent administrative support to our clients and team members. We also expect that you will contribute to the team’s efforts to create efficiencies while adhering to our documented Standard Operating Procedures. 

 

Hours, Compensation & Benefits

  • This is a part-time (28 hours a week), exempt, salaried position.

  • Compensation is $40,000-45,000 per year, commensurate with experience. 

  • We have a thorough performance review process and conduct regular compensation reviews. Additional compensation will be considered based on demonstrable success and contributions to the team.

  • Access to a 401(k) plan with 3% company contribution.
